In this position you will:

  • Manage and coordinate multiple calendars for two executives and physicians. 
  • Manage communications regarding executives’ professional relationships including:  University relations, sponsor relations, regulatory and government agencies, and communications for University clinical and administrative activities. 
  • Notify University Hospital clinic staff of dates when CPC physicians are unavailable so that the University staff can accommodate the physicians’ clinic schedule as needed.
  • Act as the primary point of contact for physicians to access CPC resources and provide guidance on their utilization as necessary.
  • Coordinate and assist physicians with professional travel arrangements and submit appropriate paperwork for reimbursement.
  • Arrange conference calls and meetings, including catering, venue, scheduling, etc.
  • Carefully screen, triage and take messages from callers for physicians.
  • Assist physicians with administrative needs as needed.
  • Maintain EndNote for the department.
  • Create or troubleshoot graphics and materials for publications or presentations for physicians and assist with general document formatting as needed.
  • Manage publication timelines and deliverables.
  • Support manuscript submission to journals as needed.
  • Prepare monthly All Staff Meeting minutes.
  • Perform general administrative tasks such as document preparation, filing, copying, scanning, and faxing.

 Here’s what you will need to bring to the table:

  • High School Diploma or GED
  • Excellent interpersonal communication skills (oral and written)
  • Minimum 5 years’ experience as an Executive Assistant (preferably supporting physicians or attorneys)
  • Excellent organizational skills, planning and time management skills and attention to detail
  • Excellent computer skills and experience with EndNote and MS Office Suite (specifically Word, Excel, Outlook, PowerPoint)
  • Ability to work as a member of a team.

Note: Viable applicants will be required to demonstrate their computer skills as well as pass a background and education verification check.
